Position Summary:

The Scheduling Coordinator at KGH Autism Services ensures efficient clinic operations by managing client and staff schedules. This role involves organizing intake assessments, coordinating treatment schedules, and maintaining practice management systems. The ideal candidate will excel in organization, attention to detail, and communication, while contributing to a compassionate environment dedicated to improving the lives of children and their families.

Key Responsibilities:
  • Schedule intake assessments across all service lines, including Applied Behavior Analysis, Speech Therapy, Occupational Therapy, Mental Health Therapy, Group Services, and Diagnostic Services.
  • Confirm assessments and communicate details to families both verbally and in writing.
  • Maintain and update practice management systems such as Central Reach, Go High Level, and Google Sheets.
  • Propose and manage treatment schedules for new clients/services in line with KGH guidelines, seeking approval from the Center Director and Clinic Operations Supervisor.
  • Confirm and communicate treatment schedules with clients and families prior to the start of treatment.
  • Suggest and manage long-term schedule changes for clients and staff, with approval from the Center Director and Clinic Operations Supervisor.
  • Identify and propose improvements for scheduling effectiveness and efficiency.
  • Request authorizations for initial assessments and treatment schedules.
  • Provide coverage for Clinic Operations staff as needed.
  • Assist in updating Clinic Operations Standard Operating Procedures (SOP).
  • Perform additional duties as assigned to ensure operational efficiency.
Education/Certification/Experience:
  • High school diploma or equivalent required; college degree preferred.
  • Minimum of two years of experience in medical scheduling required.
  • Knowledge of clinic operations.
  • Strong customer service orientation.
  • Experience interacting with children with special needs preferred.
Qualifications:
  • Strong attention to detail.
  • Ability to adhere to established policies and procedures.
  • Excellent organizational and interpersonal skills.
  • Ability to follow directions and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Google Docs, Google Sheets, and Google Slides.
Environmental Conditions/Physical Demands:
  • Understanding and usage of proper body mechanics and lifting techniques.
  • Ability to sit for extended periods at a desk or computer terminal.
  • Capability to stoop, bend, twist, and reach as needed.
  • Ability to work in varying noise levels.
  • Must be able to commute to different events and/or work sites; some out-of-state travel required.
